Transaction Coordination
When a transaction is under contract I will:
- Coordinate opening of the file with escrow and handle all documents securely.
- An introduction email will be sent providing a timeline of deadlines with a copy of the executed contract to coop-agent, buyers agent, buyer/seller - (Your client as appropriate) lender and escrow company.
- Ensure everything is fully executed with dates, initials, signatures, and broker information is completed.
- Submit all required contract documents to broker for compliance.
- Send/request disclosure packages and gather signatures if needed.
- Ensure the lender, escrow company, and broker receive any amendments or changes to the contract.
- Verify Earnest Money Deposit is received and obtain receipt from escrow.
- Ensure all parties have received reports to review.
- Keep in contact with the escrow company and lender throughout the transaction. Provide agent email updates on the status of the transaction keeping you informed.
- Update deadlines due to any changes in the contract.
- Confirm receipt of HOA documents in accordance with deadlines and ensure receipt by buyer agent (if on list side) or by buyer (if on buyer side)
- Order Home Warranty per contract if needed.
- Confirm inspection has been completed in accordance with offer deadline.
- Monitor appraisal timeline and completion with the lender.
- Coordinate and monitor buyers loan status with lender.
- Ensure your buyer/seller is provided a copy of all documents.
- Remind agent to draft Commission Disbursement. If TC is completing CD request, form MUST BE approved by agent before submitting to escrow and compliance.
- Upload all disclosures, documents, and reports into agents online transaction management service as they are received or fully executed throughout the transaction. (if applicable)
- Maintain constant contact with all parties involved for status updates as well as outstanding items.
- Verify escrow has all required documentation.
- Confirm the final walk-through is complete and provide the necessary paperwork.
- Conduct a final audit of file prior to closing to ensure all documents are uploaded and the file is complete.
- Confirm final recording and alert agents as needed.
- Upload Final HUD/ CD to online transaction management service for compliance
Agent Expectations
- Review preliminary title reports.
- Review escrow Instructions and settlement statements.
- Schedule and supervise inspections.
- Perform agent visual inspection and complete AVID form.
- Negotiate repairs and any changes to the contract.
- Advise the client of any contingency timeline removals (we will remind all parties of the dates and timeframes in the introductory email).
- If TC is drafting documents, the agent will provide exact wording and review before being sent to client (if applicable).
- Attend Final Walkthrough.
Fee Schedule
- Listing or Buyer Side: $450.00
- Dual Transaction: $700.00
- Lease Transaction: $175.00
- Offer Management: $175.00
Paid at closing according to Transaction Coordinator Service Agreement.
Special Project Work: $40 per hour paid upon completion.
Pre-listing Coordination
Setup New Listing File
- Complete listing file creation in agents preferred software
- Add client to agents CRM database
- Fill out listing documents and send to client along with any required disclosures for signatures.
- Add listing info into the MLS (agent fills out listing comments/description).
- Assign lockbox to MLS listing.
- Ask the seller to make copies of house keys for the lockbox.
- Schedule stager for consultation.
- Schedule photographer for photo shoot once house is staged.
- Input listing into the MLS incomplete
- Have listing agent edit or approve MLS input before going live
- Email seller copy of the listing
- Add required documents to the MLS listing such as legal description, disclosures, inspections.
- Add all listing documents, disclosures and any other required documents to broker’s online compliance management software ensuring file is complete.
